Ten Tips for Virtual Gala Success

  1. Keep it Short: Programs should opt for many, varied shorter segments versus fewer longer ones with an overall length of 30 to 45 minutes.

  2. Make Giving Super, Duper Easy: Use a text-to-give or a mobile bidding app. Share it with guests ahead of the event and have it on the screen for the whole program.

  3. Work with AV and/or Video Professionals: Do live segments in-studio or with a professional crew coming to you. Turn to those same professionals to facilitate your live stream.

  4. Balance Quality: It doesn’t have to be perfect, but it shouldn’t be distracting.

  5. Pre-recording is Your Friend: Pre-record as much as possible or consider pre-recording it all. Your guests won’t be able to tell the difference if it’s done well.

  6. Promote. Promote. Promote: Market the event until you feel like you’ve gone too far, and then promote it a bit more. Many guests will sign up at the last minute.

  7. People Forget: Guests should receive a confirmation email with a calendar invite, then send a reminder the day before, morning of and an hour before it starts.

  8. Embrace Virtual’s Long Life: Start auction bidding up to a week in advance and keep it open a few days after the gala. The actual program can be shared and giving will continue for days after the “event.” Keep up the momentum through social media and encourage guests to share with their network.

  9. Learn from Others: Watch other virtual galas and events. Need some to watch??? Send us a note, and we would be happy to provide a few links to events. Some we have produced and some produced by others.

  10. Music Matters: Be sure you have the rights for any music you use or use royalty free music. Streaming providers are likely to shut down your event if you don’t.
